Meet Seleta,

 

Seleta is a DC Administrative Assistant in our TJX Canada Distribution Services Department.  She is responsible for providing advanced and confidential administrative support services to the respective AVP, Manager of Facility and responsible for administrative support services to the TJX Canada Distribution Centre.

 

Seleta says she appreciates that we go the extra mile to help our Associates maintain a healthy work/life balance. Funny, it doesn’t feel like we’re doing anything extra. Maybe that’s because we pride ourselves on maintaining a family-like environment, and, well, we wouldn’t be a very good family if we didn’t care about each other’s well-being. It’s as simple as that.

 

Now, if you were to come on board as one of our DC Administrative Assistant, we’d ask you to do the following:

 

  • Provides full administrative assistance including preparing documents and presentation materials, screening and responding to incoming correspondence, inquiries and phone calls, drafting letters, arranging and attending meetings, recording and distributing minutes, ordering office supplies, and calling for office equipment repairs.
  • Responds, prepares, and distributes as directed key communication and agendas to DC teams inclusive of the TV monitors.
  • Maintains and updates DC bulletin/communication boards, phone lists, dept lists,  lunchroom,  and mailboxes inclusive of conducting monthly audits to remove/update signage, messaging etc
  • Sorts mail, including preparing and distributing all outgoing mail including Fed Ex..
  • Plans, organizes and supports event details such as menus, accommodation, audiovisual equipment, upgrades, agendas, invites, and maps.
  • Assists the in-house Travel department with travel arrangements by providing accurate information pertaining to complete bookings of trips (e.g. Cars, rentals, hotels, etc.) for salaried staff.
  • Tracks vacation, floater and sick days, and overtime hours for the Facility Operations Management teams; completes  payroll in  KRONOS
  • Work with standard spreadsheets and word processing packages.
  • Support scheduling of new hire on-boarding and transition plan processes for the DC Operations Management team at both facilities.
  • Compile data, prepare and/or distribute various reports.
  • Manage facility petty cash processes and procedures.
  • Oversees the management of lockers.
  • Other duties as assigned.
  • Chairs the Associate Experience Committee Meetings
  • Supports DS HO team as required.

  • 1-3 years of experience in an mid-level administrative assistant role.
  • Advanced administrative skills including duties such as reporting, photocopying, filing, mail distribution, scheduling appointments, arranging travel, maintaining room bookings, managing equipment (fax machines, printers), etc.
  • Complete working knowledge of word processing, presentation, email (Outlook) and spreadsheet software.
  • Knowledge of company policies and practices.
  • Basic knowledge of finance.
  • Strong communication skills including written (interoffice memos, reports, vendor letters, etc.); and verbal (telephone).
  • Customer service skills including effectively and efficiently responding to all Associate and Operations Management inquiries in a courteous and professional manner including dealing with high-pressure telephone calls; persuasiveness; identifying stated and unstated customer needs; building relationships with Distribution Centre Operations Management and Associates; escalating any conflicts or problems that might arise; etc.). 
  • Issue management skills including time management (multitasking; prioritizing) including conflict management (i.e. Organizing meetings, satisfying several different time schedules); attentive to details; problem solving and decision making; ability to maintain strict confidentiality.
  • Working effectively with minimal supervision.
  • Computer skills including knowledge of Human Resource Systems (i.e.Kronos), word processing, spreadsheets, databases, email.
  • Project support skills including maintaining detailed development plants for projects; understanding and applying principles of project control; ability to manage projects within one or more systems.
  • Communication skills including written (reports, letters, memos); verbal (communication with Associates and Management at all levels).
