Job Summary

To provide high quality administrative support to the Buying Team


Key Responsibilities


Purchase orders

o Prepare, enter, review and validate electronic purchase orders

o Track all purchase orders to ensure vendor receipt

o Purchase order maintenance - enter data amendments, follow up with vendors, attend to any other issues/problems

o Ensure PO entry is timely and accurate

o Manage POs from multiple Buyers

o Manage PO flow as required e.g. chasing lates, updating transit times, querying data on a PO


Administrative support

o Vendor management - assist the Buyers with new vendor set up, manage the department’s vendor base (contact info, pre ticket addresses, update trade show vendor base, maintain history and current activity), filter potential new vendors, keep vendor information current and appropriate

o Manage royalty accounts – keep information updated and inform required departments

o Log Buyers weekly itineraries

o Assist and support BAs and Buyers from other buying offices

o Support the team with general administration (post, faxes, photocopying, troubleshoot technology issues etc)

o Process invoices on Oracle


Business analysis

o Assist Buyers in preparing for their market week on a Monday by report printing, vendor information etc.

o Perform special projects as assigned or directed throughout the week based on Buyer’s needs


Sample coordination (forms a larger part of PD BA role)

o Ensure all samples are controlled in an effective and timely manner

o Liaise with vendors to ensure timely and appropriate delivery of samples

o Assist in pre-production/production sample process to include communicating with the vendors, tracking receipt of samples,

setting up displays for buyer approval and creating and maintaining binders, etc.

o Management of samples in a timely and appropriate manner

o General office maintenance, ensuring department is keep tidy


Strategy/Style out preparation

o Request samples from vendors, ensure samples are received and returned in a timely manner

o Collate information and print reporting for strategy packs and presentations


Key Skills, Knowledge & Experience



o Educated to a minimum of GCSE standard or equivalent

o Proven strong administrative and organisational skills

o PC literate with intermediate computer skills, good data entry and math skills

o A genuine interest in retail

o Demonstrates flexibility and ability to adapt to an ever-changing and diverse environment

o Able to juggle a number of constantly changing priorities and multitask in a high volume and fast paced environment while maintaining a positive and professional demeanour

o Independent, able to work effectively without close supervision

o Committed and reliable

o Excellent attention to detail

o Task oriented, aware of deadlines

o Excellent communication skills, both verbal and written

o Strong interpersonal skills, ability to form and maintain relationships with people on all levels

o Self starter, self motivated, fast learner

o Retail experience

o Ability and/or interest in travel

o Drivers License
